How working together works
A clear journey from idea to outcome.
Every SJ Services project is planned collaboratively and communicated clearly. The exact process reflects the service you need, while each stage has a defined purpose and gives you an opportunity to understand and shape the outcome.
Understand
Explore your organisation, current position, challenges and priorities.
Plan
Agree the scope, responsibilities, deliverables, costs and route forward.
Develop
Build, demonstrate, review and refine the agreed digital service.
Launch & support
Complete final checks and provide continued support where required.
No technical preparation is required. Understanding what is not currently working, what you want to achieve or where you need support is enough to begin.
Clear · Collaborative · TransparentThree services, three tailored routes
The right process for the work you need.
Every service begins with understanding your requirements, but the work that follows depends on whether you need a purpose-built system, a new website or reliable ongoing support.
Bespoke CRM systems
A detailed collaborative process that turns your organisation’s workflows, information and responsibilities into a secure purpose-built system.
Website design & build
A structured design and build process covering your pages, visual direction, content, functionality and preparation for launch.
Website management
A continuing relationship that begins with reviewing your existing website and agreeing the right level of monthly technical and content support.
Not sure which route applies? The initial conversation will help identify whether you need a new service, continued support or a combination of both.
Stage one · Discover
Understanding the need before proposing the solution.
Every project begins with listening—not with choosing features, templates or technical tools.
We explore what you are currently doing, what is creating difficulty and what a successful outcome would look like. This provides the context needed to recommend an appropriate and proportionate route forward.
Start the Conversation ↗What are you trying to achieve?
We establish the practical outcome you need, whether that is bringing information together, improving a workflow, launching a professional website or arranging reliable ongoing support.
What is happening at the moment?
Existing systems, spreadsheets, websites, processes and responsibilities help explain the current position and identify what should be retained or improved.
Who will be affected by the work?
We consider the staff, customers, service users, supporters or website visitors who will interact with the finished service.
What must the service support?
Important workflows, information, website pages, functionality, reporting, access requirements and ongoing responsibilities are explored.
What are the priorities and constraints?
Timescales, budgets, existing commitments and essential requirements help determine a realistic scope and the most appropriate starting point.
You do not need to prepare technical terminology or know exactly what should be built. It is helpful simply to think about the challenges you experience, the tools you currently use and what you would like to achieve more easily.
Stage two · Define and plan
Turning the conversation into a clear plan.
Once the requirements are understood, everything is shaped into a practical plan. This establishes what will be delivered, what you will need to provide and how the work will progress—before development, design or ongoing management begins.
Bespoke CRM systems

Your processes are translated into a structured specification for a CRM designed around the way your business operates.

Before work begins, you will have clarity on:
Stage three · Create and build
Bringing the agreed solution to life.
With the direction agreed, the practical work begins. Your CRM, website or management plan is developed carefully, with progress shared throughout and opportunities to provide feedback before anything is finalised.
Bespoke CRM development
The system is built around the approved workflows, records and permissions. Features are developed in manageable stages so they can be reviewed and refined as the CRM takes shape.
Website design and build
Your pages are designed and built using the agreed structure, branding and content. The website is made responsive so it works properly across desktop, tablet and mobile devices.
Website management
Agreed requests are prioritised and completed within your monthly package. This may include content updates, new pages, design improvements, maintenance and general website support.
Stage four · Review and refine
Checking every detail before it goes live.
You will have the opportunity to review the work, test how it functions and provide feedback. Any agreed refinements are then completed so the finished result feels right for your business and is ready for everyday use.
Your review
Your knowledge of the business matters.
You understand your organisation, customers and working processes better than anyone. Your feedback helps ensure the final solution reflects what you genuinely need—not assumptions about how your business should work.
Feedback is gathered clearly and applied within the agreed project scope before final approval.
Functionality testing
Forms, workflows, buttons, automations and other features are checked to confirm they work as intended.
Content review
Wording, images, page details and business information are reviewed for accuracy before final approval.
User experience
The solution is checked from the perspective of the people who will use it, helping identify anything unclear or unnecessarily complicated.
Final refinements
Agreed amendments are completed and checked before the project progresses to launch, handover or ongoing support.
For ongoing management clients, this review cycle continues each month as requests are completed, checked and approved.
Stage five · Launch and handover
Ready to use, with a clear way forward.
Once the final checks and approvals are complete, your solution is prepared for launch or everyday use. You will receive the information and guidance needed to move forward confidently, with continued support available where required.
Bespoke CRM systems
System launch
Your CRM is moved into active use once the agreed features have been tested and approved. Guidance is provided so your team understands how to use the system in practice.
- Final system and access checks
- User accounts and permissions
- Guidance or training as agreed
- Launch support and issue monitoring
Website design & build
Website publication
Following final approval, your website is published and checked on the live domain to ensure visitors can access and use it correctly.
- Final mobile and desktop checks
- Forms, links and navigation tested
- Website published to your domain
- Essential access details handed over
Website management
Ongoing delivery
Website management moves into a straightforward monthly cycle, giving you reliable support without needing to arrange a new project for every change.
- Requests prioritised each month
- Time recorded against your package
- Completed work checked and confirmed
- Further improvements planned as needed
The handover
You will not be left wondering what happens next.
At the end of the project, you will know what has been delivered, how to access it and where responsibility sits going forward. If you would prefer continued technical or website support, this can be discussed and arranged separately.
Common questions
Before we get started.
Every business and project is different, but these answers cover some of the most common questions about working with SJ Services.
Do I need to know exactly what I need?
No. You only need to explain what you are trying to achieve and what is currently causing difficulty. I will help you explore the options and turn your needs into a clear, practical plan.
Will I receive a quote before work begins?
Yes. The proposed scope, price, payment arrangements and expected timescale will be confirmed before the project starts. Any work outside the agreed scope will be discussed with you first.
How involved will I need to be?
Your input will be needed during discovery, planning and review. I will organise and complete the technical work, keeping your involvement focused on the decisions and approvals that require your knowledge of the business.
How long will the work take?
Timescales depend on the size of the project, the features required and how quickly information and feedback are supplied. An estimated schedule will be included within your proposal.
Can you provide the website content and images?
Yes. Content and image sourcing can be added to a website package if you would prefer SJ Services to prepare these for you. All drafted content will be sent to you for final review and approval.
Can you continue supporting me after launch?
Yes. Ongoing website management is available through a choice of monthly packages. Continued CRM support can also be discussed based on the system and the level of support your organisation requires.

Start the conversation
Tell me what you need help with.
You do not need a technical specification or a perfectly formed plan. Start by telling me about your business, what is not working and what you would like to improve. We can work out the right next step together.
Initial enquiries are informal and carry no obligation to proceed.
