Bespoke CRM systems

A CRM built around your business.

Replace disconnected spreadsheets, repetitive administration and awkward off-the-shelf software with one tailored system designed around your people, processes and priorities.

  • Designed around real workflows
  • Built for your organisation
  • Clear planning and delivery

When standard software falls short

Your business should not have to work around its software.

Many organisations rely on a mixture of spreadsheets, inboxes, shared documents and separate online tools. It may work at first, but as the organisation grows, information becomes harder to find, tasks are repeated and important actions can be missed.

A bespoke CRM brings the information and processes that matter together in one system, shaped around how your organisation genuinely operates.

What does CRM mean? CRM stands for Customer Relationship Management. In practice, your system can manage far more than customers—including staff, projects, services, enquiries, bookings, documents, funding, tasks and reporting.

A tailored system may be right for you if:

01

Information is spread across different places

Your team switches between spreadsheets, emails, documents and separate platforms to find what it needs.

02

Administration is taking too much time

Information is entered more than once, routine tasks are completed manually and reports take hours to prepare.

03

Important actions are easy to miss

Follow-ups, renewals, deadlines or required documents depend on individual reminders and memory.

04

Off-the-shelf systems do not fit

Existing platforms include features you do not need, lack the ones you do or force your team into an unsuitable process.

05

You lack a clear overview

It is difficult to see current workloads, performance, outstanding actions or accurate business information in one place.

✓

The aim is simple: less time managing disconnected information and more time using it effectively.

Built around your requirements

One system can bring every essential process together.

Your CRM does not need to include every possible feature. It should include the right features for your organisation, arranged in a way that makes everyday work simpler, clearer and more consistent.

01

Customer and contact management

Keep contact details, communication history, documents, notes and important information together in one accessible record.

02

Projects and service delivery

Track projects, referrals, cases or services from the first enquiry through to completion, including tasks and milestones.

03

Staff and compliance

Manage staff records, roles, training, checks, documents and renewal dates with clear visibility of outstanding actions.

04

Bookings and attendance

Organise programmes, sessions, appointments, participants, bookings and attendance without relying on separate trackers.

05

Tasks and automation

Create reminders, trigger routine actions and reduce repetitive administration so important work is less likely to be missed.

06

Dashboards and reporting

Turn stored information into useful dashboards, performance summaries and reports without rebuilding them manually.

+

This is not a fixed feature list. Your CRM can be planned in phases and tailored to include the records, workflows, permissions, forms and reporting your organisation actually needs.

Designed to make a difference

Better systems create better ways of working.

A bespoke CRM is not simply somewhere to store information. It should reduce unnecessary administration, improve consistency and give you a clearer view of what is happening across the business.

Before
  • ×

    Disconnected information

Records are held across different files, systems and individual inboxes.

  • ×

    Repetitive administration

The same information is copied, checked and reformatted multiple times.

  • ×

    Reliance on individual knowledge

Important processes depend on specific people remembering what needs to happen.

  • ×

    Limited oversight

Producing an accurate overview requires manually gathering information from several places.

With your bespoke CRM
  • ✓

    One central source of information

Relevant records, documents, activity and history can be accessed from one connected system.

  • ✓

    More efficient processes

Structured workflows and automations reduce duplicated effort and routine manual tasks.

  • ✓

    Greater consistency

Clear stages, required information and reminders help your team follow agreed processes.

  • ✓

    Useful real-time oversight

Dashboards and reports provide a clearer view of workloads, progress and outstanding actions.

User access is prepared, final checks are completed and your organisation is supported through the move to the new system.

Pricing and investment

A clear quote based on the system you actually need.

Bespoke CRM projects do not have a standard package price because every organisation requires a different combination of records, workflows, features and users. Your quote will be based on the agreed project scope.

01

Project size

The number of modules, records and business processes the CRM needs to bring together.

02

Features and workflows

The forms, dashboards, permissions, automations and reporting required within the system.

03

Data and integrations

Whether existing information needs to be transferred or other platforms need to connect with the CRM.

04

Support requirements

The level of guidance, training, launch assistance and ongoing support your organisation requires.

+

Larger systems can be planned in phases. This allows the most important features to be prioritised first, with additional modules introduced as the organisation is ready for them.

Why SJ Services

Technology shaped by an understanding of real operations.

A successful CRM is not only about the code behind it. It requires a clear understanding of the people, responsibilities and everyday processes the system needs to support.

Clear communication

Requirements, options and progress are explained clearly, without expecting you to understand technical terminology.

You work directly with the person understanding, planning and developing your system throughout the project.

Common questions

Bespoke CRM questions, answered.

A tailored system can feel like a significant step. These answers explain some of the practical points clients commonly want to understand before beginning.

Have a question that is specific to your organisation?

Ask SJ Services →
Is a CRM only for sales and customer management?

No. A CRM can manage any connected records and processes your organisation relies on. This could include customers, referrals, staff, projects, programmes, attendance, compliance, funding, documents, tasks and reporting.

Can a bespoke CRM replace our spreadsheets?

In many cases, yes. The discovery stage identifies what each spreadsheet is used for and whether that information should be transferred into the CRM, replaced by a new workflow or retained separately.

Can our existing information be transferred?

Existing data may be suitable for import, but this depends on its format, quality and consistency. Any required data migration will be reviewed and included separately within the project scope where appropriate.

Can the CRM connect with other software?

Potentially. Integration options depend on the other platform, the access it provides and what information needs to move between the systems. Suitable integrations will be investigated during planning before they are included in the proposal.

How long does a bespoke CRM take to build?

Timescales vary depending on the number of modules, complexity of the workflows, integrations, data migration and availability of feedback. An estimated schedule will be provided once the project requirements are understood.

How will user access and data security be handled?

User roles, permissions and access requirements are planned as part of the system specification. Hosting, backups, security responsibilities and any organisation-specific data requirements will also be discussed before launch.

Can the CRM grow as our organisation changes?

Yes. The system can be planned with future development in mind, and larger projects may be divided into phases. Additional modules or features can then be scoped as your requirements develop.

Is support available after launch?

Launch support and any agreed guidance will be included in your proposal. Longer-term maintenance, updates and further development can also be discussed based on the needs of the completed system.
